TravelChinaService is a tour operator based in China for global travel agencies, tour operators, organizations, and travel partners. Our work includes itinerary planning, hotel coordination, transportation, guide service, meals, tickets, domestic travel arrangements, special visits, and other local logistics.
This Service and Quality Control Policy explains how we review and manage service details in our ground operation.
Itinerary Design Based on Real Conditions
All itineraries arranged by TravelChinaService are designed according to the actual conditions of the destination and our practical operating experience.
When we prepare a route, we consider the real distance between places, local traffic, attraction opening times, ticketing rules, hotel location, meal arrangements, vehicle access, weather, season, group size, and the type of travelers.
We do not prepare itineraries only based on maps or general online information.
A route must be practical for real travel operation.
For each program, we review whether the daily schedule is reasonable, whether the driving time is acceptable, whether the group has enough time for visits and meals, and whether the arrangements can be operated smoothly on the ground.
This is especially important for group tours, student trips, MICE programs, senior groups, special-interest tours, cycling trips, religious groups, business delegations, and programs involving remote destinations or special permits.
Review of Destination Feasibility
Different destinations in China have different operating conditions. Traffic, hotels, restaurants, attractions, guide availability, vehicle rules, and local regulations may vary from city to city.
For common destinations such as Beijing, Shanghai, Xi’an, Chengdu, Guilin, Zhangjiajie, Hangzhou, Guangzhou, Shenzhen, and Yunnan, we review the program according to local travel conditions.
For special destinations such as Tibet, Xinjiang, Inner Mongolia, border areas, mountain regions, ethnic minority areas, or remote routes, we pay closer attention to timing, road conditions, safety, permits, local reporting requirements, and possible changes during operation.
If a proposed route is not practical, too rushed, or difficult to operate safely, we will advise the travel agency or partner before confirmation.
Transfer Service Quality Control
Transportation is an important part of travel safety and service quality.
For confirmed travel programs, we review the vehicles used for transfers, sightseeing, long-distance travel, and group movements.
We check that the vehicle type is suitable for the group size, luggage volume, route distance, and local road conditions. For group tours, we also pay attention to whether the coach or bus has the required operating qualifications under local rules.
For long-distance routes, mountain roads, remote areas, or multi-day programs, vehicle suitability is reviewed more carefully.
We also consider driver experience, vehicle condition, seat capacity, luggage space, timing, and local compliance requirements.
Guide Qualification and Service Review
Where guide service is required, TCS arranges guides according to the destination and group requirements.
We check that guides are legally qualified where local regulations require licensed guide service.
A guide’s work is not limited to sightseeing explanation. The guide also helps with timing, ticket coordination, hotel check-in, restaurant communication, local assistance, traveler questions, and unexpected situations during the trip.
When arranging guides, we consider language ability, local knowledge, service experience, communication skills, and suitability for the group type.
Logistics Review
Travel services involve many operational details. These details may affect the whole travel experience.
We review the main logistics involved in each confirmed program. This may include hotels, restaurants, vehicles, guides, tickets, domestic flights, high-speed trains, venues, special visits, luggage arrangements, meal requirements, accessibility needs, prayer arrangements, and other client requests.
Our responsibility is to check that the services used for the group are suitable, properly arranged, and clearly communicated before the group arrives.
For special groups, we may prepare additional operation notes for guides, drivers, hotels, restaurants, or local coordinators.
Supplier Checking
We work with local service providers according to the needs of each program.
Suppliers may include hotels, transportation companies, guides, restaurants, ticketing teams, venues, attractions, and local coordinators.
When selecting suppliers, we consider whether they are suitable for the confirmed service, whether they can meet the group’s requirements, whether they have relevant operating experience, and whether they can communicate and respond properly during the tour.
Price is not the only factor.
We also consider reliability, compliance, timing, previous service record, and ability to handle international clients.
Pre-Tour Confirmation
Before the tour starts, we will confirm key arrangements with the relevant service providers.
This may include arrival and departure times, pickup points, guide meeting details, vehicle schedule, hotel booking, rooming list, restaurant booking, ticket timing, special meal requests, luggage needs, and other important details.
Pre-tour confirmation helps reduce misunderstanding and avoid unnecessary problems during operation.
For larger or more complex groups, more detailed checks may be made before arrival.
On-Tour Coordination
During the tour, we keep in contacting with the local operating team 24 X 7.
If there are traffic delays, flight changes, weather issues, hotel matters, ticketing changes, restaurant adjustments, or traveler requests, we coordinate with guides, drivers, suppliers, and the overseas partner to handle the situation.
The purpose of on-tour coordination is to keep the program as smooth and stable as possible under the actual conditions on the ground.
24/7 Emergency Support
During the tour operation period, we provide 24/7 emergency support and coordination for confirmed groups.
Unexpected situations may include flight delays, missed connections, lost luggage, traveler illness, hotel issues, vehicle changes, weather disruption, attraction closure, traffic control, passport problems, or other urgent matters.
When such situations happen, we assist with coordination. This may include contacting guides and drivers, communicating with hotels, checking alternative arrangements, helping with medical support coordination, adjusting transfers, contacting suppliers, and updating the overseas travel agency or partner.
Emergency support does not mean that every problem can be fully controlled, especially when the situation is caused by weather, transport disruption, government control, supplier limitation, or force majeure. However, we'll provide coordination and practical support based on the actual situation.
Handling Unexpected Changes
Travel in China may sometimes be affected by local conditions. These may include weather, public holidays, road control, attraction crowd control, ticketing changes, traffic restrictions, government activities, or temporary closures.
If changes are needed during the trip, we'll review the actual situation and provide possible alternatives where available.
This may include adjusting the sightseeing order, changing meal time, replacing an attraction, modifying transfer arrangements, extending guide or vehicle time, or coordinating with hotels and suppliers.
Any additional costs caused by changes will be communicated clearly when they occur.
Communication With Travel Agencies and Partners
As a China tour operator, we keep travel agencies and partners informed of important operational matters.
Before confirmation, we try to explain key service conditions, inclusions, exclusions, possible limitations, supplier rules, and special requirements.
During operation, we communicate important changes or problems when they affect the confirmed program.
After the tour, we are willing to receive feedback from travel agencies, tour leaders, guides, and clients. Feedback helps us review the service and improve future arrangements.
Service Review
After a program is completed, TravelChinaService will review the operation when necessary.
This may include checking feedback on the itinerary, guide, vehicle, hotel, meals, ticketing, timing, communication, and emergency handling.
If there are service problems, we review what happened, whether the issue was caused by planning, supplier performance, local conditions, communication, or unexpected events.
The purpose of service review is to improve future work and reduce repeated problems.

Our responsibility is to prepare practical itineraries, check key service providers, review logistics, use suitable vehicles and qualified guides, coordinate confirmed services, and provide emergency support during the tour.
